How Elecden Electrical Services Pty Ltd handles personal information under the Privacy Act 1988 (Cth).
1. About this policy
Elecden Electrical Services Pty Ltd (ABN 97 701 064 020, ACN 701 064 020) is an Australian company providing electrical contracting services in Victoria. In this policy, "we", "us" and "our" mean Elecden Electrical Services Pty Ltd.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act. This policy explains what we collect, why we collect it, who we may give it to, and how you can access it, correct it or complain about how we have handled it.
It applies to the website at elecdenelectricalservicestec.site and to the enquiries, quotes and electrical work we carry out.
2. The personal information we collect
We only collect personal information that is reasonably necessary for our functions and activities as an electrical contractor. Depending on your dealings with us, that may include:
- your name, and the name of any organisation you represent;
- your email address and any other contact details you choose to give us;
- the address of the property where work is quoted or carried out, and whether you are the owner, tenant, builder or agent;
- details about the site and the job, including photographs of switchboards, fittings, cabling and completed work;
- access arrangements, such as when a property is occupied or when power may be interrupted;
- records of our correspondence with you, quotes, variations, invoices and payment records; and
- test results, certificates and other compliance records that we are required to make and keep.
We do not seek sensitive information as defined in the Privacy Act 1988 (Cth). If you send us sensitive information that we do not need, we will not use it and will take reasonable steps to destroy or de-identify it.
3. How we collect it
We usually collect personal information directly from you — when you email us, complete the enquiry form on this website, speak with us on site, or engage us to carry out work.
Sometimes we collect it from someone else, such as a builder, real estate agent, body corporate manager, landlord or another trade who refers a job to us. Where we collect your information from a third party, we take reasonable steps to make sure you are aware of this policy.
4. Anonymity and pseudonymity
You can ask us a general question about our services without identifying yourself. We cannot, however, prepare a quote, attend a site, carry out electrical work or issue a certificate without knowing who you are and where the property is.
5. Why we collect, hold and use it
We collect, hold and use personal information to:
- respond to enquiries and prepare quotes;
- plan, schedule and carry out electrical work, including arranging site access and power interruptions;
- order materials and coordinate with builders and other trades on the same job;
- issue invoices, take payment and follow up amounts owing;
- prepare, issue and retain testing records and certificates for prescribed electrical work;
- handle warranty questions, defects and any complaint or dispute; and
- meet our obligations under Australian law, including work health and safety, electrical safety, taxation and record-keeping requirements.
6. This website, cookies and tracking
This website is a set of static pages. It does not set cookies, does not run analytics, advertising or social media tracking, and does not build a profile of you.
The enquiry form on the contact page does not send anything to us or to any third party by itself. It opens a message in your own email program with the details you typed, which you then choose to send. Nothing you type is stored on this website.
Our hosting provider may keep standard server logs, which can include IP addresses, for security and reliability purposes. We do not use those logs to identify individual visitors.
7. Who we disclose it to
We do not sell personal information and we do not disclose it for another organisation's marketing. We may disclose personal information to:
- employees and contractors engaged by us to carry out or assist with the work;
- other trades, builders, project managers or body corporate managers where that is necessary to coordinate the job;
- suppliers, where equipment must be ordered or a warranty claim made;
- our accountants, bookkeepers, insurers and professional advisers;
- electricity distributors, regulators or certifying bodies, where the work requires it; and
- any person to whom we are required or authorised by law to disclose it.
8. Overseas disclosure
We are an Australian business serving Australian customers, and we hold personal information in Australia wherever we can. Some of the business software we use — such as email and file storage — is provided by companies that may store data on servers outside Australia. Before disclosing personal information to an overseas recipient, we take the steps reasonable in the circumstances to ensure it is handled consistently with the Australian Privacy Principles.
9. Storage, security and quality
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Those steps include limiting who can see job files, using password protection and multi-factor authentication on our accounts where it is available, and keeping paper records secure.
No method of transmission or storage is completely secure. Email in particular is not a secure channel, so please do not send us financial account details or identity documents by email unless we have asked for them.
We also take reasonable steps to ensure the personal information we collect and use is accurate, up to date and complete. Telling us when your contact details change helps with this.
10. How long we keep it
We keep personal information only for as long as we need it, or for as long as we are required to keep it by law. Records connected with electrical work, certification, invoicing and taxation are generally retained for at least seven years. When we no longer need information and are not required to keep it, we take reasonable steps to destroy it or ensure it is de-identified.
11. Access and correction
You may ask us for access to the personal information we hold about you, and you may ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email your request to ceo@elecdenelectricalservicestec.site.
We will ask you to verify your identity and will respond within a reasonable period — usually within 30 days. Access is free, although we may charge a reasonable amount for the cost of retrieving and copying records where the request is substantial. If we refuse access or refuse to make a correction, we will tell you in writing why, and how you can complain about that decision.
12. Direct marketing
We do not run marketing campaigns or newsletters. If we ever contact you about our services beyond the job at hand, you can tell us to stop at any time by replying to that message or emailing us, and we will action it promptly and at no cost to you.
13. Data breaches
If a data breach occurs that is likely to result in serious harm to any individual whose personal information we hold, we will assess it and, where the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act 1988 (Cth) applies, notify the affected individuals and the Office of the Australian Information Commissioner as soon as practicable.
14. Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please tell us first. Email ceo@elecdenelectricalservicestec.site with the details and what you would like us to do about it. We will acknowledge your complaint, investigate it, and respond in writing — normally within 30 days.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC), which is the independent regulator for privacy in Australia. Contact details for the OAIC are published on its website.
15. Changes to this policy
We may update this policy from time to time to reflect changes in how we operate or in the law. The current version is always the one published on this page, and the date at the top shows when it last changed.
